You’ll have your own dedicated accountant who you’ll speak to directly. We hate having to repeat ourselves and we’re sure you do too. You can expect friendly and timely responses from any of our team.
Efficiency and Security
We are a virtually paperless office at Phebys and where there’s a more efficient way to do something, we’re all over it. So, with us you can expect e-signing, automatic SMS and email reminders and access to an online digital vault to securely store all documents. We also send all of our paperwork via a secure online portal.
We’ll set up supplier accounts and a bespoke email address and arrange for all of your suppliers to send their invoices there. We’ll login regularly and post those invoices into your Xero accounting system so your payables list is always up-to-date. We’ll also pay your suppliers if you wish.
In order to ensure you have up-to-date lists of receivables and payables, and up-to-date financial reporting, we’ll log in to your Xero accounting system regularly and reconcile the bank transactions so you can rely on the accuracy of the information.
Xero and AutoEntry charge a monthly subscription for using their software. Rather than paying multiple invoices, we pay any necessary subscriptions on your behalf so you have just one payment to make each month.
We will be prepare and submit your quarterly VAT returns. However, we’re not just filing a bunch of numbers - we take a six-step approach when completing this task.
- We create a quarterly job in our job management software so that we never miss a deadline.
- We carry out an audit of all transactions to ensure that all VAT is being correctly claimed.
- We ensure that you are on the best scheme in order to maximise your cash flow.
- We send you notification of how much you need to pay within three weeks of the quarter-end, giving you plenty of notice of how much you need to pay.
- We e-file the VAT return on time, every time.
- We deal with any queries that HMRC may have so you don’t have to get involved, allowing you to focus on running your business.
Monthly and/or weekly preparation and filing of the company payroll to HMRC and providing electronic payslips to employees. We claim the Employment Allowance for you and complete and submit all necessary year-end forms for HMRC, including P11Ds if necessary.
All employers are now obligated to offer their staff work-based pensions. We will take care of all the administration and file the necessary data with your pension provider.
With the introduction of Making Tax Digital, businesses are required to submit detailed information in an electronic format to HMRC. We handle all of this for you ensuring your compliance and avoiding unnecessary penalties.
As a limited company, you are required to prepare statutory accounts in a specific format and submit them to Companies House annually. This is all included within your quote and you will have peace of mind knowing that this is all taken care of for you. We will also complete your corporation tax computation and return for submission to HMRC, ensuring that you pay the correct amount of tax. We commit to completing this work within 3 months of the year-end, thus giving you plenty of notice as to your tax bill, so you can plan for this liability.
As a self-employed person, or as a director of your own company, you are required to submit a personal tax return each year to HMRC. We take this burden away from you.
We will submit your Confirmation Statement each year for you and pay the associated fee. We will also complete and file any other necessary Companies House forms for you. We will also act as your company’s Registered Office, which means that you’ll never miss any important letters from Companies House.
In the event that you and/or your business is selected for an investigation by HMRC, all professional fees are covered so you can be assured that you are receiving the best support in what can be a stressful time.
We will answer basic tax and HR questions that you may have within 24 hours. This means that you can phone us up at any time during office hours and pick our brains. We have extensive knowledge of these areas and can support you, so you don’t fall into any traps.
Rather than a set of accounts just once a year, you receive a fully reconciled set of accounts each month/quarter, with a reporting pack containing your Profit and Loss Account, Balance Sheet, Aged Debtors and Creditors, Cashflow Summary and an Executive Summary giving you the top-level information that is essential if you are to manage your business effectively. Trying to run a business without this information is like bowling through curtains – you don’t know what’s happening. We will shine a light on the business’s performance which enables you to keep in control and make the right decisions.
We will meet with you each quarter/month to go through the main financial data, help you interpret the information and formulate an action plan to drive the business forward. We will also help formulate a selection of meaningful Key Performance Indicators (KPIs) that will help you more effectively run your business. You’ve all heard the saying, “what gets measured gets done”. We will help you come up with a list of measurements, and report against them, to help you improve, focus on what’s important and improve your profitability.
As the old adage goes, “if you fail to plan, you plan to fail”. It is essential for growing businesses to produce a budget/forecast to plan their growth in a meaningful way, to set goals and targets and to identify funding requirements before they happen rather than react to circumstances when it’s too late. To this end, we will meet with you a month or so before your year-end to help prepare a budget/forecast for the following year.
As we like to say, “you have to pay tax, but there’s no law that says you gotta leave a tip!” We will hold a meeting with you a month or so before your year-end to explore ways in which we can legitimately reduce your tax liability. You work hard for your money and we’re dedicated to ensuring that you keep as much of it as possible.
We will act as your virtual CFO and help you in business planning, raising finance, recruitment and any other areas traditionally reserved for an internal finance director, without having to pay the horrendous salary that comes with a permanent occupant.
